Chapter 1: Getting Ready for Work / Working Process

A day before:

 

1. Products and Equipment

Check if you have all cleaning products, empty vacuum cleaner, and clean cloths for the next day.

 

2. Open your ZenMaid App

Read your job description and ask us via WhatsApp Group if something is not clear. If there is no description of service, follow our standard Cleaning Checklist. If there is a description, make sure you pay special attention to tasks mentioned by the client. Please also check if any of the clients require eco friendly products and if yes, make sure you have the eco products in your kit.

 

Before you start driving:

 

1. Always double-check your Job Assignments.

It might happen, that you’ll have a last-minute roster change. To view the most valid version of your jobs, refresh (close and open) your ZenMaid App every morning before you start driving. Always check your App for the most valid version of your roster (not your SMS reminders).

2. Check your WhatsApp Group for any updates.

Make sure you check your WhatsApp Group before you start driving for any updates. Check your group regularly during the day.

3. Driving to the client’s house.

Open your ZenMaid App and click on your client’s address. It will open the GPS app on your phone. After that, click the button OMW (On My Way) to let the client know when you’ll arrive. Plan your trip ahead and make sure you arrive 5-10 minutes before the booked time.

 

4. Go to work as per ZenMaid App.

We recommend leaving 10-15 minutes earlier in case of the morning traffic.

During the appointment:

1. Follow the checklist as per Cleaning Checklist + notes from ZenMaid.


2. Keep in touch with the Office via WhatsApp in case of any problems or questions. 


3. If the appointment is longer than 6 hours:

- If you are assigned for a job that is 6 hours long or more, you can have a break at 12pm.

- Please make sure you let the client know you are having a X minutes break and will return to complete the remaining hours booked for the job. The break time is not included in the total time booked for the job.

Example:
The client booked 7 hours job. 
You work from 8 am to 12 pm. Then you have 30 minutes break (you can have a shorter break or no break, it is up to you). After that you work from 12:30 pm to 3:30 pm to complete the 7 hours of work.

After you finish each appointment:

Once you finish each job, please follow the steps below:

1. Inspection (alone): Conduct a thorough inspection of the cleaned areas to ensure that everything has been properly cleaned and meets the expected standards.

 

2. Restoring Items: If any furniture, decor, or household items were moved during the cleaning process, you should carefully return them to their original positions.

 

3. Checking for Left-Behind Items: It's important for you to double-check that you haven't left any personal belongings or cleaning equipment/product behind. It will be your responsibility to contact the client and organise a date/time to go back there to pick up the equipment. If you are using either Green Magic's cleaning equipment or yours and the client refuses to give it back, you'll be responsible to replace the lost equipment/material at your own cost.

 

4. Inspection (with the customer): Conduct a joint inspection of the cleaned areas with the client if they are at home. Make sure the customer is satisfied with the cleaning before you leave. This allows them to provide immediate feedback and point out any areas they would like you to reclean or pay special attention to. Address promptly any missed areas brought up by the customer. You should make all the necessary corrections or touch-ups to ensure that the customer's expectations are met.

5. Locking Up – After you finish:

  1. Turn off aircon / heating

  2. Check gas/oven etc

  3. Turn off water (including hose)

  4. Check if all doors are locked (including laundry door)

    A. Leave the key in the same spot you found it unless instructed otherwise on your app

    B. I
    f you got a key from lockbox, you should put it back even if client or someone else came back home during the cleaning.

    C. 
    If the client is not at home when you finish, and you are not sure about where to leave the key, contact the customer or our office to confirm what to do before leaving the house.

After your last job of the day:
 

1. Confirmation Message

Right after your last job of the day, send us a written Confirmation Message via WhatsApp Group (explained in the next chapter).

After your last job of the week:
 

1. Invoice

Email your invoice to invoices@greenmagic.com.au once a week no later than Sunday (explained in the next chapter).
 

2. Your Payment

Receive your payment every week from us.

3. We count on your reliability.

Your Job Assignments will appear in your ZenMaid App according to your availability. For this reason, please don’t change your availability without informing us in advance (ideally 2 weeks in advance or as earlier as possible), as we might have already offered your spot to a client before saving it in your app.
